Scholarship Eligibility
Senate approved the introduction of a new grade notation "GN" (Grade Not
Reported) for the undergraduate grading system at the meeting on June
5,
1989
(S.89-25, as amended, attached). During the discussion of the motion, it was
suggested that the Senate Policy Committee on Scholarships, Awards and
Bursaries should review their procedures for determining student eligibility for
scholarships and other awards for students who had been assigned the "GN"
notation. The SPCSAB was asked to bring forward a recommendation to Senate,
which if accepted, would be added as a condition for the use of the GN notation.
The Senate Policy Committee on Scholarships, Awards and Bursaries has
considered the question, and as set out in the attached memorandum,
recommends that the following motion be approved:
Motion:
"That all students with a "GN" grade will have their eligibility for
Open and Private Scholarships (adjudicated by Simon Fraser
University) determined when the GN grade has been resolved.
It is understood that should a GN grade have prevented a
student from receiving a Private Scholarship which

Note: If approved by Senate, this statement will be added as condition

At its meeting on November 30th, the Senate Policy Committee on Scholarships,
Awards and Bursaries met and approved the following motion:
All students with a "GN" grade will have their
eligibility for Open and Private Scholarships
(adjudicated by Simon Fraser University) determined
when the GN grade has been resolved.
It is understood that should a GN grade have prevented
a student from receiving a Private Scholarship which is
adjudicated by Simon Fraser University, this scholarship
will be awarded to that student using funds taken from
the general scholarships and awards budget.
Please report this to Senate for information.

Introduction of "NG" Notation
From time to time, circumstances arise where it is not possible fo/ the instructor
in a course to submit the grades by the required deadline for grdes processing.
For example, in the current Spring '89 Semester two faculty members became
• seriously ill during the examination period. On other occasions, the illness or
death of an immediate family member has resulted in the late submission of
• grades. ? -
At the present time, the only avenue open to this Office to handle these
exceptional situations is to assign grades of "DE" (Deferred grade) to all students
in the course(s) or group(s) taught by that instructor. This action may have
serious implications for those students since the regulations on deferred grades
require that they be considered as "F" grades in the calculation of the Semester
and Cumulative GPA's, and students may find that they have been placed on
academic probation, required to withdraw, cancelled from classes in the
subsequent semester, and/or excluded from scholarship consideration. These
consequences seem quite unfair for a situation over which the student has no
control.

I propose that the University approve a new grade notation - NG - (No—Grade),
with use of that notatior. qbject to the following conditions:
1)
The grade of NG may be applied. only when circumstances beyond the
control of the University make it impossible for grades to be assigned for a
course or some section of a course.
2)
The Dean of the Faculty responsible

Registrar, in writing, that the notation of I6' is approved for a course or for
a particular group of students in a course. The Dean shall also indicate the
probable date by Qich the grades will be ubmitted.
3)
The notation

Students who have been assigned one or more grades of NO will be
advised that their continuance status has been deferred pending receipt of
