Report of the Chair
The Chair briefly reported on the annual 'SFU Day in Victoria' where he and
other senior administrators (Deans and Vice Presidents) met with approximately
25-30 members of the Legislative Assembly to have an informal discussion and
exchange of views on matters directly related to the University. In addition, all
members of the senior administration had other meetings during the day with
different political agencies including a 2 hour meeting with officials in the
Ministry of Advanced Education, and the Faculty of Business Administration
met with alumni. This annual initiative was an important part of the cultivation
of support for universities in general and SFU in particular, helping to keep the
Government informed about ongoing developments at the University.

Paper S.03-56 - Guidelines for Determination of the Academic Calendar of
Events
Moved by J

Driver, seconded by A. Horvath
Motion 1
"that Senate approve the following guidelines for the
determination of semester schedules:
1. there will be 63 instructional days;
S.M. 2 June 2003
Page 3
• ?
2. classes will begin on a Monday or Tuesday;
Motion 2
that Senate approve the creation of a reading break of up
to
two
days in the Spring Semester, dependent upon public holidays"
The insertion of the word 'to' before the word 'two' was accepted as a correction
to Motion 2.
A few senators expressed surprise about the inclusion of a reading break in the
Spring semester as it was thought that many faculty members were opposed to
this initiative. Senate was provided with information with respect to the
feedback received from members of the university community on this question.
It was noted that many of the comments were particularly concerned about
starting a semester on a Thursday or Friday. Concerns were also expressed that
if Easter which was the only statutory holiday in the Spring semester fell after
classes were over, there was no opportunity for any 'catch up' days when there
was no reading break. The Calendar Committee felt it had arrived at a good
compromise which ensured that all semesters had an equal number of teaching
days and also provided provision for a break when Easter did not fall within the
semester.
Question was called, and a vote taken.

Paper S.03-57 -
Academic Calendar of Events 2004-3 to 2006-2
Moved by J
.
Driver, seconded by C. Apaak
Motion 1
"that Senate approve the Academic Calendar of Events for 2004-3
to 2005-2 as set forth in S.03-57"
Motion 2
"that Senate approve the Academic Calendar of Events for 2005-3
to 2006-2 as set forth in S.03-57"
It was noted that in the schedule of dates for 2005/2006, Easter holidays fell
within the examination period, and that the paper was silent as to whether or not
examinations would be scheduled on Easter Saturday. Senate was advised that
when this has happened in the past, no examinations were scheduled on that
particular Saturday and the time was left as a holiday weekend. In response to an
inquiry as to whether a notation should be included in the documentation, a
suggestion to record the issue in the Minutes was accepted as being sufficient.
Question was called, and a vote taken.

Paper S.03-58 - Deadline - Graduate Grades

Moved by J
.
Driver, seconded by G. da Silva
S.M. 2 June 2003
Page 4
"that Senate approve that in the absence of scheduled exams,
graduate grades are due on the last day of the undergraduate
examination period"
Opinion was expressed that the motion penalized instructors in courses with
scheduled exams as it forced grades to be submitted earlier than they would
have to if there were no exams. Senate was advised that the vast majority of
graduate courses did not have scheduled exams so this deadline would apply to
most graduate grades. The Committee did not wish to make a blanket
requirement for graduate grades simply because they felt that the requirement
for classes with scheduled exams should be the same for undergraduate and
graduate students.
Question was called, and a vote taken.
